1. Introduction

Antwerp Outlanders (“Outlanders,” “we,” “us,” or “our”) is an initiative registered in Belgium under enterprise number 1024405518.

We organize free, volunteer-driven community activities, as well as paid services, curated events, membership benefits, and branded merchandise.

By participating in our events, joining our social media channels, or using our services, you agree to comply with these Terms of Service.

 

2. Our Structure

Antwerp Outlanders operates through two complementary structures:

Community Activities (Free): This includes WhatsApp groups, informal meetups, and open-access events

Paid Services, Memberships, and Merchandise: Operated directly by Antwerp Outlanders under Hady Elm’s self-employed registration. This includes curated events, membership programs, and branded merchandise.

We are committed to transparency regarding the difference between non-profit and for-profit activities. Revenue from paid services helps sustain and grow the whole community.

3. Participation, Tickets, and Guest Liability

Outlanders events and groups are open to adults aged 18 and over. Participants must behave respectfully. We reserve the right to remove or ban anyone engaging in inappropriate, unsafe, discriminatory, or disrespectful behavior, both online and in person.

Ticket Transfers & Guest Consent: Tickets are strictly non-transferable and valid only for the registered name provided during the checkout process. If you purchase a ticket on behalf of another individual (a guest), you legally certify that you have informed them of these Terms of Service, including Section 8 (Photos and Media), and that they have consented to them. The ticket buyer assumes all legal and financial liability for any complaints or claims raised by their guests regarding event media usage. Unauthorized individuals entering an event under another person's name forfeit all rights to event protocols, including media opt-outs.

Membership fees are non-refundable unless otherwise specified.


4. Liability

Participation in all Outlanders activities is at your own risk. We are not responsible for personal injury, loss, theft, or damage to belongings. It is your responsibility to assess whether an event is suitable for your health and abilities.

Third-party service providers such as venues, guides, or transport companies are fully responsible for their own services. Volunteers contribute on a voluntary basis and are not entitled to employment benefits, profit sharing, or financial compensation unless otherwise agreed in writing.

5. Payments, Refunds, and Cancellations

Some events may require payment in advance or at the door. Event payments and membership fees are non-refundable unless Antwerp Outlanders cancels the event. If an event is cancelled by us, participants will be offered a refund or the option to transfer to a future event. No refunds are provided for no-shows.

For online merchandise purchases, you have the right to cancel within 14 days of receiving your order, provided items are unused and returned in their original condition. Return shipping costs are the buyer’s responsibility unless the item is defective.

6. WhatsApp and Online Groups

Our WhatsApp groups are volunteer-managed and are free to join.

Group Rules:
  • No exclusivity
  • No spam
  • No harassment
  • No offensive content
  • No unwanted private messaging

Group admins have the right to remove participants who violate these rules.

We are not responsible for private interactions between participants.

7. Personal Data (GDPR Compliance)

We process your personal data, such as name, contact details, and participation history, in accordance with the General Data Protection Regulation (GDPR).

Your data is used only for event organization, communication, and community management. We do not share your data with third parties without your consent, unless required by law.

You may request access to, correction of, or deletion of your data by contacting us at info@antwerpoutlanders.be.

8. Photos, Media, and Irrevocable Release

Grant of License: By purchasing a ticket, attending an event, or entering the event venue, you grant Antwerp Outlanders an irrevocable, royalty-free, worldwide, perpetual license to photograph, film, and record your likeness, voice, and actions. This media may be used for promotional purposes, including but not limited to our website, social media, and online event recap videos.

Condition of Entry: Media capture is an essential, core, and non-negotiable component of Antwerp Outlanders events. If you do not wish to be photographed or filmed under any circumstances, your sole remedy is to refrain from purchasing a ticket and to not attend the event.

Waiver of Approval & Removal: You explicitly waive any right to inspect or approve the final video or photographic content. Because post-production and re-editing incur significant financial costs, Antwerp Outlanders will not accommodate post-event requests to remove, blur, or delete an individual from finalized and published video content.

The ticket buyer acknowledges that event recap videos are final marketing assets. If a buyer or their accompanied guest requests the alteration or removal of published media after production is finalized, the ticket buyer agrees to indemnify the organizer for all technical, administrative, and production costs incurred to modify the asset. The organizer reserves the right to withhold video modification until these production costs are paid in full.

9. Intellectual Property

Antwerp Outlanders name, logo, and all original content are protected by intellectual property laws. Use of our branding, event names, or materials without written permission is strictly prohibited.

10. Force Majeure

We are not liable for cancellations, delays, or disruptions caused by events beyond our reasonable control, such as natural disasters, pandemics, strikes, or government restrictions.

11. Changes to Terms

We may update these Terms of Service at any time. The version active at the time of your ticket purchase or event registration governs that specific transaction and event attendance. Continued use of our services or attendance at future events after an update constitutes acceptance of the revised terms.


12. Applicable Law and Disputes

These Terms are governed by Belgian law. Any disputes will be handled by the courts of Antwerp, Belgium.
